Using Resource Scheduler

Bookings for rooms at the AMREP Education Centre are stored on Resource Scheduler, a web-based program available on the intranets of the following AMREP Partners: The Alfred Hospital, Baker IDI, The Burnet Institute, The Central & Eastern Clinical School (Alfred Campus), and The School of Public Health (Alfred Campus).

The following are needed in order to use it:
  • access to one of the aforementioned intranets
  • Sun Microsystems' Java software

NB: This method permits read-only access, allowing the user to find available time-slots. Please direct booking requests to the AMREP Coordinator via E-mail:

Logging In

  • First, browse to here and click on the relevant link
  • Next, type "display" in the Login or E-mail box
  • Leave the Password box blank
  • Press "Login"

 

Home Page

You should have been sent to the Resource Scheduler Home Page.

  • Select a room on the left panel, or click the green arrow at top right to view today's calendar.

Viewing Bookings

  • To view existing bookings, click a location on the left, and a date on the right.

 

Viewing Modes

  • You can view the rooms in groups, or individually.

  • You can also view the rooms' activities by the day, week, or month. Click the tabs to view in that mode.

 

Viewing Booking Details

  • If you'd like to view the details of a booking, simply click on it.

  • Now you can see the name of the person who made the booking, and their contact details.

 

Viewing Bookings By Booker

You may wish to view a list of bookings made by yourself or another person. As the names of bookers are recorded, you can search for a name:

  • Return to the Home Page.
  • Click on "Find Text in Reservations".


  • Set parameters.

  • A list of results will follow.
  • Click on the title link to view details of each booking.

Making Bookings

TYPE A - Single Room, Single Date Booking

  • Go to Quick Reserve panel
  • Select Resource (Room), Date, Start / Finish times, and provide a Title for the meeting
  • Click More...
  • In the Description box, enter the name, department, extension and email address of the person who is most suited to fielding inquiries about the booking
  • Select the booking institution from the Colour menu: AH - Alfred Hospital; BAK - BakerIDI; BUR - Burnet Institute; MON - Monash Central Clinical School; SPH - Monash School of Public Health.
  • Click Submit

TYPE B - Multiple Room, Single Date Booking

  • Follow the Type A instructions for one of the desired rooms but do not submit
  • Click Select on the Resources bar
  • Select AMREP Ed Centre
  • Click Show to display additional rooms available within the selected time frame
  • Select Additional Rooms
  • Click Submit
  • Click Submit once more

 

  • NB This procedure can also be used to alter rooms. For example, to move from Classroom 3 to 2, providing they are both available, check the box beside 2 and uncheck the box beside 3. Click Submit.

TYPE C - Multiple Date: Pattern Recurring

"Pattern Recurring" refers to a repeated booking which conforms to one of Resource Scheduler's settings, including a Daily, Weekly, or Monthly booking.

  • To use this feature, make the first booking as described in Type A. Before submitting, click on the Recurring tab.
  • Check the circle beside the relevant repeat option.
  • Select the last date on which the event will occur. NB This date must be entered precisely. Failure to do so can cause errors in the repetition.
  • Select the various suboptions: e.g. Daily - once every 3 days; Weekly - once every 2 weeks on a Thursday; Monthly - the second Wednesday of every third month.

TYPE D - Multiple Date: Ad Hoc Recurring

"Ad Hoc Recurring" refers to a repeated booking which does not conform to any of Resource Scheduler's repeat settings.

  • Click Recurring tab
  • Click calendar icon
  • Select additional date
  • Click Add
  • Repeat if necessary
  • Click Return
  • Click Submit
